Paper Submission - Guidelines for Authors

Paper registration for 2011 is now closed. The Paper Submission Deadline was extended to 14th June 2011. If you have submitted a paper you will receive your feedback before August.

At least one author from each paper must register for the conference for the paper to be included in the proceedings and online at IEEE Xplore®.

One author of your paper must complete a copyright form. Go to the EDAS site and follow
the link from your paper to complete your IEEE copyright form This will appear once your paper has been accepted.

ALL authors must be included in the author list in EDAS and each name and title must be written in exactly the same way on EDAS and on the paper. If the name is incorrect or written differently in either place the authors’ title will not appear correctly in the index of the proceedings and may not appear in IEEE searches so please check this carefully.

All papers are POSTER presentations. Note it is IEEE policy to only include papers in IEEE Xplore when the authors have attended the conference and presented their work. Your poster should be A0 in size, in colour and in portrait orientation. Please bring your poster with you. Alternatively LAPC can arrange to have your poster printed for you at a cost of £9.95 per poster. Please email [email protected] for more information.

Note all papers must be submitted to LAPC via EDAS except Invited and Keynote papers which should be emailed to [email protected]

Important notes for authors.

There are three steps to submitting a correctly formatted manuscript that will be accepted by LAPC 2011. Please follow these steps carefully:

1. Preparing the Manuscript
You can prepare your manuscript in MS Word or LaTeX but this must be converted to PDF before submitting. Please follow the instructions in this WORD TEMPLATE carefully to format your manuscript correctly. Your final document must satisfy all the stated requirements.  NB the LAPC 2011 template is a 2 column format without headers footers or page numbers.

2. Converting the Manuscript
All manuscripts must be converted to the IEEE Xplore compliant PDF format before being submitted electronically. Please note, PDFs found to be non-IEEE Xplore compliant will require re-formatting by the author or may even be rejected.

You can create an IEEE Xplore compliant PDF file by using the IEEE PDF eXpress tool. Simply click on the link below, create yourself a new account and upload the manuscript for conversion. This tool also allows you to check PDF files you have created with your own PDF Writer for IEEE Xplore compatibility.

Please use LAPC11x as the conference ID.

3. Submitting the Manuscript
Once the PDF file has been created successfully, please submit it electronically using EDAS. Take the following steps to ensure successful submission: Note, the deadline to register your paper on EDAS is 14th June 2011 at 23:59 New York time.

  • If you do not already have an EDAS account, please create one.
  • Log on and select LAPC 2011 from the conference listings. You will need to provide a title, an abstract (up to 150 words) and all author details. Please ensure all names, addresses and email details are correctly entered as this information will appear in the conference proceedings.
  • Upload the PDF Manuscript. Once uploaded, you can visit your manuscript details at any time to view progress and make changes.
  • Posters must be A0 portrait format and printed in colour. Please bring your poster with you for presentation.
  • If you will need a visa to travel to the Conference and are worried that this may take time to organise then please upload your paper EARLY and contact us to let us know that the online version is ready for review. We will then start to review your paper before the deadline is reached in order to give you an early response.

4. Completing the copyright form
When you try to upload your final manuscript on EDAS, you will be asked to 'upload or fill out' a copyright form.  Please click on the 'IEEE Copyright Submission' button to start the process electronically (See picture below).  You will be asked to complete an IEEE, Crown government or US government copyright form depending on where you work.

Note: Simply pressing 'Record copyright' button will not complete the mandatory process. This button is only for those uploading a scanned copyright form.
